Booking & Cancellation Terms

1. Booking confirmation

An RSVP or submitted booking is not confirmed until full payment has been received and allocated by Aces & 8’s Poker. Availability is limited, and unpaid places may be released after a payment reminder or stated payment deadline.

2. Guest cancellations

A guest may cancel an advance booking by sending written notice to the organiser. In accordance with section 17 of the South African Consumer Protection Act, the organiser may deduct a reasonable cancellation charge. The amount will be assessed with reference to the notice period, the organiser’s ability to resell the place, and non-recoverable costs already committed for catering, venue, staffing, payment processing or suppliers.

• More than 14 calendar days before the event: normally a refund less reasonable administration and non-recoverable costs.
• 7–14 calendar days before the event: a higher reasonable cancellation charge may apply where supplier costs have been committed.
• Fewer than 7 calendar days before the event or non-attendance: a substantial or full charge may be reasonable where the place cannot be resold and event costs have already been incurred.

These periods are guidelines, not automatic forfeiture rules. Each cancellation will be considered fairly and in accordance with applicable law.

3. Ticket transfers

A paid booking may be transferred to another guest without charge if the organiser receives the replacement guest’s full name, mobile number, email address and dietary requirements no later than 48 hours before the event.

4. Event cancellation by the organiser

If the event is cancelled by the organiser and is not rescheduled, the original purchaser will be offered a refund of amounts paid directly to the organiser, subject only to any lawful and clearly disclosed third-party charges that cannot be recovered.

5. Postponement or material change

If the event is postponed or materially changed, the booking will ordinarily be transferred to the revised date. Where the revised arrangement is not reasonably suitable, the purchaser may request the remedy available under the applicable terms and South African consumer law.

6. Dietary requirements

Vegetarian and vegan meals are available only by prior arrangement. Allergies and dietary requirements must be disclosed in the booking form before the RSVP deadline. The organiser will take reasonable steps to accommodate disclosed requirements but cannot guarantee an allergen-free environment.

7. Entertainment-only gaming

All games use free-play chips or money with no monetary value. No real-money gambling, betting, chip purchases, cash redemption or cash prizes will take place.

8. Conduct, dress and admission

The dress code is formal. Guests must behave respectfully and follow reasonable venue, safety and event instructions. Admission may be refused or a guest may be removed for materially unsafe, unlawful or disruptive conduct, subject to applicable law.

9. Photography

Photography or video may take place. Guests who do not wish to appear in promotional content should notify the organiser or registration team so that reasonable steps can be taken.
